Closing out QuickBooks on Swizznet
When closing out of your QuickBooks file go to File>Close Company.
Once you have closed the company file go to File>Exit to exit the application.
Be sure to always close out of QuickBooks by going to File>Exit instead of clicking the X button in the upper right hand corner to close out of QuickBooks. This will ensure that you completely log out of the QuickBooks application.
Backing Up your QuickBooks File
Your data is being backed up every 15 minutes on Swizznet, but we understand that sometime you’ll need to make a backup for use locally. When backing up QuickBooks files, be sure to back up the file to your Z drive and then drag n’ drop it to your local computer.
- Open your QuickBooks file on Swizznet in single-user mode. If you opened the file in multi-user mode, go to File>Switch to Single User Mode.
- Go to File>Save Copy or Backup
- Select Backup copy and click the Next button
- Select Local backup and click the Next button
- In the Backup Options screen, browse to a location on your company Z drive to save the
backup. Click the OK button. - In the next screen, click the Use this Location button.
- QuickBooks will then ask you when you’d like to save your backup copy. Select Save it now and click the Next button.
- Click OK to the Warning screen that comes up about saving it to a remote computer.
- In the Save backup screen, verify that the backup will be saved to your company Z drive on Swizznet and click Save.
- QuickBooks will then backup your file. You can access the backup copy in your company Z drive on Swizznet via the Swizznet Windows Explorer.
- To move the backup to your local computer simply open the Windows Explorer on Swizznet and copy and paste it to from your Z: drive on Swizznet to your local computer’s C drive (C$)
Printing
Sometimes multiple printers with the same names will populate on Swizznet.
If you are having problems printing from Swizznet, be sure to select the printer (if there are two with the same name) that has your Swizznet username next to it.
Using the Bill.com Sync Tool on Swizznet

Exporting Financial Statements from QuickBooks on Swizznet to Your Local Computer
It’s easy to export financial statements and reports from QuickBooks on Swizznet and save them directly to your local computer.
Simply open the report or financial statement in QuickBooks then click the export button. Select New Excel Workbook.
Once the new workbook opens, click File>Save As. In the Save As screen, browse to your local C$ drive (this is your C: drive on your local computer) and select your Swizznet Transfers folder and click Save.
On your local computer, open the Windows Explorer and navigate to your Swizznet Transfers folder on your C: drive and move the excel file to your desired location on your local computer.
Opening QuickBooks Files in Multi-User Mode on Swizznet
To open a file in QuickBooks on Swizznet, simply launch the application from your applications box on your Swizznet Virtual Desktop.
Then click the button to open an existing company file.
Click next and then navigate to the file you would like to open on your Swizznet Z:/ drive.
Select the file and click Open. Make sure that the box to open the file in Mult-user mode is checked (it should be checked by default when first opening QuickBooks on Swizznet). Checking this box enables you to work in the file simultaneously with your other users.
To work in the file at the same time as your other users you’ll need to make sure that you each have a user setup in the QuickBooks file itself. Swizznet has no control over or access to the users and passwords you setup in your QuickBooks file so make sure you write down your QuickBooks file login information.
To setup users in the QuickBooks file go to Company> Setup Users & Passwords > Setup Users. Click Add User and follow the instructions in the setup wizard.
Using your Clipboard with Swizznet
Did you know that you can copy information to the clipboard on your local computer and past it into programs open on Swizznet?
Just use the same copy and paste functions or shortcuts that you normally user and you can go back and forth between programs open on Swizznet and those on your local computer.
